Terms & Conditions (Retreats)
Booking Conditions
If a booking request is made via the Naxos Creative website, you will receive an automatic reply confirming that your request has been received. All bookings are subject to availability.
A deposit of 25% of the total retreat fee per person is required to secure your place. The remaining balance must be paid 8 weeks prior to the retreat start date.
Your deposit will be fully refunded if you cancel in writing within 7 days of your initial booking.
Cancellation Policy
If you cancel your booking, the following charges will apply:
More than 8 weeks before departure: Deposit is forfeited
4–8 weeks before departure: 40% of total fee retained
2–4 weeks before departure: 60% of total fee retained
1–2 weeks before departure: 75% of total fee retained
Less than 1 week before departure or after arrival: 100% of total fee retained
In many cases, cancellation fees may be covered by travel insurance. Please notify us in writing if you need to cancel.
Transferring Courses
Subject to availability, you may transfer your booking to another retreat or course. Any price difference must be paid before transfer is confirmed.
Flights
Although Naxos Creative Ltd is not a flight provider, we may assist with flight guidance where possible. We strongly recommend booking through ATOL-bonded companies.
Naxos Creative Ltd cannot accept responsibility for:
Flight delays or cancellations
Loss of or damage to baggage
Any costs incurred as a result of travel disruption
Flight costs are non-refundable through Naxos Creative.
Programme Changes & Disclaimer
Circumstances such as staff illness, weather conditions, low bookings, maintenance work, mechanical issues, civil unrest, or other events beyond our control may result in changes to:
Retreat programmes
Transfers
Courses
Facilitators
We reserve the right to make such changes where necessary.
Naxos Creative Ltd is not a travel agent or flight carrier and accepts no responsibility for flight arrangements or disruptions.
We do not accept liability for any costs incurred as a result of:
War, threat of war, civil unrest, industrial action
Airport closures, transport failures, natural disasters
Technical transport issues or similar unforeseen events
Medical or psychiatric conditions arising during or after the retreat
Loss or damage to personal property
Participant Responsibility
Although individual wellbeing or supportive sessions may be offered, the majority of courses and activities require that participants are able to take responsibility for themselves. Our retreats are not suitable for individuals who require constant care or supervision.
Wellbeing & Medical Disclaimer
Naxos Creative retreats provide creative, educational, and personal wellbeing experiences only. They are not a substitute for professional medical, psychological, or therapeutic treatment.
Participants are responsible for ensuring they are physically and mentally fit to take part, and we recommend consulting a healthcare professional if you have any concerns before booking.
Photography & Media
Photographs and/or video footage may be taken during retreats for use in marketing, promotional materials, social media, and our website.
By attending a retreat, you consent to the use of such imagery unless you notify us prior to the retreat that you do not wish to appear in photos or video. We will always aim to be respectful of personal boundaries.
Travel Insurance
All participants are strongly advised to purchase comprehensive travel insurance to cover:
Trip cancellation
Medical expenses
Personal belongings
Travel disruption
Naxos Creative Ltd cannot be held liable for any losses where suitable insurance has not been obtained.
Privacy Policy
Naxos Creative Ltd is fully committed to protecting customer privacy and complying with UK and EU Data Protection laws.
